How does a client get on file without a week of email?

You send a link. The client completes it on their phone: identity verified first, then a form that asks only what your Handbook and your own procedures require, in your words. What comes back waits for a person at your firm to review, send back or approve, and approval is what puts the name on the register and screens it.

One link, sent from Flarion or from your own mailbox

An invitation is a name, an email address and a fourteen-day link. Flarion sends it from its own address and reminds the client three days before the link expires, or your firm sends it from its own mailbox and keeps the client relationship entirely its own. The invitation's timeline shows who sent what, when, and to which address.

  • Fourteen-day links, expiry hidden from the holder
  • One reminder, three days before expiry, only for unsubmitted links
  • Every send, open and submission on the invitation's timeline

The form asks what you require, in your words

Identity comes first, so the form already knows the client's name and date of birth from the document. After that it asks for tax residency, source of wealth and whatever else your procedures need, with your help text under every field. The client can save and finish later.

  • Steps and fields configured by your firm in Settings
  • Help text with an example under every field
  • Nothing asked twice: the passport fills what the passport knows

Review, send back or approve. Nothing enters unreviewed.

A submission lands as a review, not a record. The reviewer sees identity, screening and the cross-checks between what was typed and what the document says, then approves it onto the file or sends it back with a note the client sees. Approval triggers screening on the register and starts the risk rating.

  • Typed name and nationality against the document
  • Send back with a note; the client corrects only what was asked
  • Screened on approval, then weekly

Your firm's form, not a vendor's

Every field on the client form has a label, help text and a shown and required setting, and a firm can add up to five questions of its own per step. The defaults are the Handbook's; the words are yours. Name, date of birth, nationality and the declaration are locked, because the file cannot exist without them.

  • Editable in Settings by an administrator
  • Your own questions, per step
  • Locked fields say why they are locked

Crew joining a vessel

For yacht and crew managers the same link verifies identity, screens the person and collects the certificates the position requires. Approval stamps the person onto the crew register and, for crew, the charge for that month. Works beside your crew system, not instead of it.

  • Position-specific certificate requirements
  • Identity and screening as for any other person
  • Charged at approval, never for an application
FAQ

Questions about onboarding

What does the client see?

A link, on their phone. Identity verification first, then a form in steps with the firm's own labels and help text under each field. They can save and come back. Nothing asks them to print, scan or post anything.

Can we change the form?

Yes, in Settings. Every field has a label, help text and whether it is shown and required, and a firm can add its own questions per step. Name, date of birth, nationality and the declaration are locked because the record cannot exist without them.

What happens after the client submits?

The submission waits for a person. A reviewer sees the identity result, the screening result and the cross-checks side by side, then approves it onto the file or sends it back with a note. Approval is what triggers screening on the record; nothing reaches the client file without a recorded decision.

What if a client does not finish?

The link lasts fourteen days. Three days before it expires, if the client has not submitted, Flarion sends one reminder with the same link. Firms that send from their own mailbox do their own reminding, and Flarion sends nothing for them.
